Your AI Policy Isn’t Protecting Anything

Your company has an AI policy. Moreover, i know it does. Someone in legal or IT wrote it in 2024. It lives in a shared drive. It probably bans “unapproved AI tools.” It almost certainly has no enforcement mechanism. And right now, three people on your team are pasting customer data into free ChatGPT. They’re doing it on their personal phones.

However, this isn’t a knock on the people who wrote it. In addition, they did their best under impossible constraints. But the way most enterprises approach AI governance is fundamentally broken. And pretending otherwise is the most dangerous thing you can do.

Some of those tools send code snippets to third-party servers.

In other words, AI is already deeply embedded in how your company operates. The question isn’t whether employees are using AI. The question is whether they’re using it in ways you know about.

The 1-Page AI Policy That Actually Works

In fact, here’s what a real AI policy looks like. It fits on one page. It’s written for the person using the tool, not the auditor reviewing the policy. And it’s built around three simple rules.

Of course, rule 1: Classify your data before you paste it. Define three tiers simply. Green: public information, internal non-sensitive documents, general knowledge questions. Yellow: internal business data, non-customer-specific insights, general product information. Red: customer PII, financial data, legal documents, passwords, health information.

Likewise, rule 3: Make the safe path easier than the unsafe path. If the approved tool is harder than ChatGPT, people will use ChatGPT. Every time. Specifically, buy the enterprise tier of the AI tools your team is already using. Turn on SSO and data retention controls. Remove the friction from the safe choice.

In addition, add one simple reporting mechanism. When employees hit a gray area, they need a fast way to ask. Get them an answer in 24 hours. Not six months.

Instead, that’s it. One page. Three rules. Monthly maintenance. This is the AI policy that employees will actually follow.

Fix It Now or Accept the Risk

Still, here’s the honest choice in front of you. You can keep the 47-page AI governance document that nobody reads and feel good about your compliance posture. Or you can build something that works.

Yet, but you can’t have both. A policy that isn’t followed isn’t a policy. It’s a liability. It’s documentation that you knew about the risk and did nothing effective about it.
